JOB SUMMARY:

The Estimating Supervisor is tasked with accomplishing department activities regarding all Estimating duties. The Estimating Supervisor is responsible for maintaining a proper balance between the profitability of the company and the achievement of total customer satisfaction. The Estimating Supervisor is responsible for supporting the company vision and mission. Because of this, the position requires tact, sensitivity, and professionalism.

The Estimating Supervisor must exceed the customer requirements and the cost of meeting those requirements within the company capabilities. As the Estimating Supervisor, you are accountable for meeting the department key performance indicators, as well as playing a key role in meeting the company wide profitability and customer satisfaction goals:

RESPONSIBILITIES AND DUTIES:

General and Administrative

● Maintain a professional appearance and demeanor that reflects the company’s commitment to quality, continuous improvement, and respect for individuals.

● Keep abreast of industry trends and new technologies.

● Communicate effectively with the Management, CSR Team, and the Production Team, informing and updating them regularly to guarantee that sales objectives and customer objectives are met.

● Comply with all OHSA safety requirements.

● Assist senior management and HR in the establishment and implementation of processes and procedures.

● Other duties as assigned.

Customer Service/ Estimating

● Prepare estimates for all production jobs based on customer specifications as received from Clientele, Customer Service Representatives, and Management.

● Price all production work using proven standards. Estimate nonstandard work.

● Ensure the team processes customer RFQ’s in a courteous, efficient, and timely manner.

● Organize department workflow to meet customer deadlines.

● Ensure the team effectively presents and discusses the products and services of the company.

● Analyze labour, material, and time requirements for a project.

● Computes costs by analyzing labor, material, and time requirements.

● Manage team telephone calls professionally, efficiently, and with good communication skills.

● Manage team voicemail effectively. Return calls promptly.

● Manage email usage professionally. Reply with confirmation of receipt.

● Attend customer complaints and concerns immediately and facilitate satisfactory resolution.

● Assist HR in recruitment and staffing within the Estimating Department.

● Train new and existing staff on processes and procedures.

● Supervise staff members and if necessary, conduct performance reviews and/or performance corrections.

● Other duties as assigned.

Sales and Marketing

● Ensure team education with new technology and product offerings of the Company.

● Support customer sales through service, education, and effective problem solving.

● Support strategic sales plan and marketing strategies outlined by management and facilitate joint marketing calls where applicable.

● Assist in the promotion of cost-effective customer-oriented solutions.

● Participate in production meetings to facilitate continuous improvement.

● Be available and responsive to the needs and requests of our clientele.

● Other duties as assigned.

FISCAL RESPONSIBILITY:

● Maintain pricing and discount terms and allowances continuously. Develop knowledge of best suppliers and competitive prices and stay abreast of pricing changes.

● Manage the computerized estimating system, updating it regularly with customer information as required.

● Work with cost accounting to determine hourly rates and production standards for various operations.

● Coordinate with the management team to determine timeline requirements of proposed jobs where applicable.

● Develop knowledge of inventory position, quantity stocked, usage, and reorder point.

● Research and recommend cost saving potential to management.

● Other duties as assigned.

Personnel and General Management

● Management of Estimating members inclusive of performance management.

● Responsible for continuous improvement of team members.

● Participate in the recruitment process as required.

● Participate in and drive continuous improvement.

● Create a work atmosphere that allows for developing new ideas.

● Provide a positive, motivating example for employees.

● Conduct, delegate or authorize training of creative employees.

● Conduct formal performance reviews per company policy.

● Encourage team members to take new roles and explore new directions.

● Initiate disciplinary measures according to company policy when needed.

● Ensure work environment is compliant with all internal and external policy/legislative requirements.

● Other duties as assigned.

QUALIFICATIONS:

● University/College degree in Accounting or Business Administration or equivalent experience.

● A minimum of 5 years estimating experience.

● Knowledgeable of cost accounting, printing processes and supplies, and purchasing methods.

● Experience in sales and/or customer service.

● Familiarity with printing operations.

● Excellent command of the English language in both written and oral forms.

● Excellent math skills.

● Strong interpersonal skills e.g. working well with others, communication, positive attitude.

● Ability to understand customers’ needs and requirements and relate to production processes.

● Strong attention to detail, possessing a sales aptitude and interested in preventing errors and solving problems.

● Must be computer literate and current on new technology.

● Must be hard working, a self-starter, and a problem solver.

● Demonstrated excellence in organization and time management skills.

● Able to perform multiple tasks efficiently.

● Exceptional phone and customer service skills, positive, and upbeat attitude.

● Meet or exceed minimum test results as specified by the hiring manager.

WORKING CONDITIONS:

● Intensive computer work and extended use of the computer keyboard and mouse.

● Sitting for prolonged periods of time – up to 8.5 hours per day.

● Occasional lifting of objects up to 30 lbs.

● Work area may have fluorescent lighting and air conditioning.

● Noise level is usually moderate to loud.

● Exposure to ink and chemical fumes, and airborne particles such as paper dust and drying powder.

● Appearance at all times must represent the company image.

● Fast-paced environment: subject to numerous schedule and priority changes and short notice activity.

● Additional hours may be required due to operational requirements.
